Our Process at Studio Soothe: From First Call to Finish

See how we handle every project at Studio Soothe, from your first phone call through consultation, treatment, and follow-up care.

Studio Soothe

At Studio Soothe, our process runs in four stages: a 15-minute intake call, an in-person consultation on Willow Lane, a tailored treatment session, and a follow-up check within two weeks. Founded in 2016, we've refined this flow across roughly 4,200 client visits so nothing important gets skipped and nothing feels rushed.

What happens on the first call?

The first call takes about 15 minutes. We ask what brought you in, what you've already tried, and what result would make this worth your time and money. That's it. No hard sell, no scripted upsell.

Most people expect a price quote in that first call. We won't give one, and here's why: pricing a session before we've assessed you is how clients end up paying for treatments they didn't need. A 2019 review in the National Library of Medicine found that individualised care planning improves outcomes and reduces unnecessary sessions compared with standardised packages [1]. So we hold the quote until after the consultation.

If you want a sense of how we think about client fit before booking, our short read on choosing the right partner for the job covers the questions worth asking any provider, not just us.

How does the in-person consultation work?

You arrive at the studio. We take about 40 minutes. The consultation is 120 PLN and is credited back if you book a full treatment within 30 days.

Here's what we cover, in order:

1. A short intake form covering medical history, medications, and prior treatments.

2. A physical assessment specific to what you came in for, usually 10 to 15 minutes.

3. A plain-language explanation of what we found, with no jargon.

4. Two or three treatment options, each with cost, session count, and expected timeline.

5. A written summary you take home, so you're not deciding under pressure.

6. A booking slot only if you're ready. We're happy to send you away to think.

Last March, a 52-year-old teacher named Marta came in convinced she needed a full 10-session package for chronic shoulder tension. After the assessment we recommended three sessions and a home stretching routine. She booked four, felt better after two, and cancelled the rest. That's the outcome we want.

What does the actual treatment look like?

Sessions run 60 or 90 minutes depending on what we're addressing. We start with a two-minute check-in, work through the planned protocol, and finish with five minutes of aftercare notes. You'll always know what we're doing and why.

| Session type | Length | Price (PLN) | Best for |

|---|---|---|---|

| Focused single-area | 60 min | 260 | One specific complaint |

| Full-body integrative | 90 min | 360 | Multiple areas or general stress |

| Follow-up check | 30 min | 130 | Post-treatment review at 2 weeks |

We don't upsell during a session. If we notice something outside the original plan, we mention it in the aftercare notes and you decide later whether it's worth another visit. Pressure sales in a treatment room are, frankly, one of the reasons trust in wellness services runs low in Poland [2].

Why do we do a two-week follow-up?

Because results at day 3 lie. Some clients feel amazing right after a session and slide back by day 10. Others feel sore for 48 hours and only notice the real change a week in. A short follow-up call or 30-minute visit tells us which pattern you're in, and whether the plan needs adjusting.

Try this: after your session, note how you feel each morning for ten days on a 1-to-10 scale. Bring that list to the follow-up. It's the single most useful thing a client can hand us.

FAQ

How long from first call to first treatment?

Usually 5 to 10 days. The intake call happens within 24 hours of your enquiry, the consultation is typically booked within a week, and treatment can begin the same day as the consultation if you're ready. Urgent cases can sometimes be seen sooner if we have a cancellation.

Do you offer packages or discounts?

We offer a small discount when a treatment plan of four or more sessions is booked upfront, but only after the consultation confirms that number is genuinely needed. We don't sell open-ended packages. You shouldn't pay for sessions you might not use.

What if I'm not sure Studio Soothe is right for me?

Book the 15-minute call. It's free and there's no obligation. If we're not the right fit, we'll say so and, where we can, point you toward someone better suited. Referring out costs us nothing and helps everyone.

Can I bring notes or questions to the consultation?

Please do. Written notes about your symptoms, timing, and what's already been tried save us both time and lead to a better plan. A short list beats trying to remember everything on the spot.
